This Privacy Policy explains how Clear Health, LLC ("Clear Health," "we," "us") handles personal information in the Clear Health Operations Portal at www.clear-ai.net (the "Portal"). Our public websites, including clearhealthcareer.com, have their own privacy policy at https://www.clearhealthcareer.com/privacy.
1. Who the Portal is for
The Portal is an internal, members-only tool for Clear Health employees, licensed agents, managers and approved contractors ("Staff"). It is not open to the public, and consumers do not sign in to it. The only page anyone can see without signing in is this policy.
2. Information we handle
Staff account information. Your name, email address, role (such as admin, manager, agent or viewer) and sign-in details. Accounts are managed through Wix Members.
Work activity and performance. Call and dialer activity from our dialer provider (Convoso), such as call counts, talk time, status and login times. Also attendance, time-off requests, hours worked, sales goals, leaderboards and other performance figures.
Customer information in sale submissions. When Staff submit or review a sale, the Portal stores details about the customer (the consumer who enrolled). That can include name, phone number, Medicare Beneficiary Identifier (MBI), plan and contract IDs, carrier, effective dates, and uploaded files such as enrollment application PDFs and ACA screenshots.
Training and course progress. Progress, quiz and test results, and study activity from our pre-licensing and sales training courses, linked to the student's or agent's name and email.
Notes. Notes Staff and managers enter, such as Problem and Solution notes on the daily dashboard. We keep a history of these notes, including notes that have been cleared.
Technical information. Cookies and similar data needed to keep you signed in, remember your device and enforce page access.
3. How we use it
- To run daily operations: dashboards, coaching, scheduling, attendance and floor management.
- To process, check and track customer enrollments, including quality and compliance review.
- To calculate commissions, payroll and performance results.
- To run training and track licensing progress.
- To secure the Portal, control access by role and investigate problems or misuse.
- To meet legal, regulatory, carrier and CMS requirements.
We do not use customer information in the Portal for marketing.
4. How we share it
We do not sell personal information. We share it only as follows:
- Insurance carriers and government agencies, including the Centers for Medicare & Medicaid Services (CMS), as needed to process enrollments, confirm commissions and payroll, or answer audits.
- Service providers that host or run the Portal for us, including Wix (website hosting and member sign-in), Supabase (database and file storage) and Convoso (dialer). They may only use the information to provide their services to us.
- As required by law, for example in response to a subpoena, court order or regulatory audit, or to prevent fraud or harm.
- Business transfers, if Clear Health is involved in a merger, sale or similar transaction. Any successor stays bound by this policy.
5. Where it is stored and how we protect it
- Data is stored in our Supabase database and private file storage, and the Portal is hosted on Wix.
- Staff must sign in. What each person can see or change depends on their role, and the database enforces these permissions too.
- Uploaded files are kept in private storage and opened only through signed links that expire within minutes.
- Connections use encryption in transit (HTTPS).
- We limit access to Staff who need the information for their job.
No system is perfectly secure, and we cannot guarantee that information will never be accessed without permission.
6. Medicare and health information
Some information in the Portal, such as MBIs and plan enrollment details, is sensitive and may be protected by Medicare rules, our carrier contracts and, where they apply, HIPAA and state privacy laws. We handle it with extra care and use it only for enrollment, servicing, compliance and payroll. This policy does not claim any HIPAA certification or third-party security certification.
7. Your responsibilities as Staff
If you use the Portal, you must:
- Keep your sign-in private and never share your account.
- Look at or use customer information only when your job requires it.
- Not download, copy, screenshot, print or send customer information outside approved company systems.
- Upload only the documents needed for the sale.
- Sign out on shared devices.
- Report a suspected loss, misuse or exposure of data to your manager and support@clearh.net right away.
Breaking these rules may lead to loss of access and discipline, up to and including termination, under company policy.
8. How long we keep it
We keep information as long as needed for the purposes above and as required by law, CMS rules and carrier contracts. When it is no longer needed, we delete or de-identify it.
9. Your choices and requests
Staff may ask to see or correct their account information by contacting support@clearh.net. Customers who want to ask about their information should contact us using the details below. We will verify identity before responding. Some records must be kept for legal or contractual reasons even if a deletion is requested.
10. Children
The Portal is only for Staff aged 18 or older.
11. Changes to this policy
We may update this policy. We will change the "Last updated" date and tell Staff about major changes in the Portal.
